Privacy Policy
LensVault Studio ("we", "our", or "us"), a product of Anvayax, is committed to protecting the privacy of studio owners, photographers, and their clients and guests. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.
1. Who This Policy Applies To
This policy applies to:
- Studio Accounts — photographers and studios who create a LensVault Studio account.
- Guests — end users who access a gallery shared by a studio, including those who use face-based photo search.
2. Information We Collect
2.1 Studio Account Data
When you register for LensVault Studio, we collect your name, email address, business name, and billing details (processed securely by our payment provider).
2.2 Photos and Media
Studio owners upload event photos to LensVault. These photos are stored securely in our cloud infrastructure. You retain full ownership of all photos you upload.
2.3 Face Recognition Data (Biometric Data)
To power AI photo search, LensVault processes the photos you upload to generate anonymised face embeddings (mathematical representations of facial geometry). These embeddings are:
- Not linked to any named identity unless a guest opts into face search.
- Generated when a guest takes a selfie in the gallery app to find their photos.
- Used solely for matching the guest's selfie to the uploaded event photos.
- Deleted automatically when the gallery event is deleted by the studio.
- Never sold to or shared with third parties for advertising or profiling.
Guests can opt out of face search and instead browse the gallery manually or use a login-enabled link provided by the studio.
2.4 Guest Selfies
Selfies taken by guests for face search are processed in real time to generate a face embedding. The selfie image is not stored permanently. Only the embedding is temporarily used for matching and is discarded after the session ends.
2.5 Usage Data
We collect standard server logs and usage analytics (pages visited, feature usage, error reports) to improve the product. This data is aggregated and does not identify individual users.
3. How We Use Your Data
- To provide, maintain, and improve the LensVault Studio platform.
- To process payments and manage your subscription.
- To power AI face search on your galleries.
- To send transactional emails (invoices, password resets, service notices).
- To respond to support requests and enforce our Terms of Service.
We do not use guest photos, selfies, or face embeddings for training AI models, advertising, or profiling beyond the face-search feature.
4. Data Storage and Security
All photos and data are stored on enterprise-grade cloud infrastructure with encryption at rest (AES-256) and in transit (TLS 1.2+). Access is controlled through role-based permissions. We perform regular security reviews and vulnerability assessments.
Studio owners are responsible for the security of the gallery links and credentials they share with their clients.
5. Data Retention
- Photos and face embeddings are retained as long as the studio's account is active and the event has not been deleted. Deleting an event immediately removes all associated photos and embeddings.
- Guest selfie data is not permanently stored and is discarded after the face-search session.
- Account data is retained for the life of your subscription and deleted within 7 days of account closure.
- Billing records may be retained for up to 7 years to comply with applicable financial regulations.
6. Sharing of Data
We do not sell your personal data. We may share data only with:
- Cloud infrastructure providers (e.g., storage and compute) who process data on our behalf under strict data processing agreements.
- Payment processors for billing (we do not store full card details).
- Legal authorities when required by law or to protect rights and safety.
7. Cookies and Tracking
LensVault Studio uses essential session cookies for authentication. We may use analytics cookies to understand platform usage in aggregate. We do not use third-party advertising cookies. You can disable non-essential cookies in your browser settings without affecting core functionality.
8. Children's Privacy
LensVault Studio is intended for professional photographers and studios. School photography events often involve minors. Studios are responsible for obtaining appropriate consents from parents/guardians before uploading photos of minors and before enabling face search for galleries that include minors.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and associated data.
- Object to the processing of biometric data (face embeddings) — you can disable face search for your galleries at any time.
- Data portability (export of your photos and account data on request).

10. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be notified via email or an in-app notice at least 14 days before taking effect. Continued use of LensVault Studio after the effective date constitutes acceptance of the updated policy.
